TERMS & CONDITIONS FOR WORLD FUTURE FORUM INITIATIVE

Joint Initiative by India SME Forum and United Nations Industrial Development Organization (UNIDO)

Comprehensive Policy for All Participants and Stakeholders


PREAMBLE

Registration for participation in the World Future Forum (WFF), a collaborative global initiative jointly organized, hosted and facilitated by India SME Forum (ISF) and the United Nations Industrial Development Organization (UNIDO), shall be deemed as complete acceptance of the following Terms and Conditions (hereinafter referred to as “T&C”) by the participant.

These T&C apply to all aspects of the World Future Forum Initiative in all formats (physical, virtual, hybrid, or any combination thereof) and shall be binding on all Participants. By registering, confirming, or attending any session, summit, working group, networking event, or any other activity conducted under the WFF banner, the Participant explicitly and unconditionally accepts and agrees to be bound by these T&C in their entirety.

The World Future Forum seeks to foster inclusive and sustainable industrial development through multi-stakeholder dialogue, capacity building, knowledge exchange and collaborative action toward achieving the United Nations Sustainable Development Goals (SDGs). These T&C are designed to create a professional, ethical and secure environment that protects the integrity of both organizations and the interests of all Participants.


1. DEFINITIONS

For purposes of these T&C, the following terms shall have the meanings ascribed below:

“Joint Organizers” or “Co-Organizers”:
Collectively refers to India SME Forum and the United Nations Industrial Development Organization (UNIDO). Both organizations are jointly responsible for the World Future Forum Initiative in all its aspects.

“World Future Forum Initiative” or “WFF Initiative”:
All events, summits, conferences, working group sessions, webinars, capacity-building programs, networking events, delegations, awards, consultations, training programs and any other activities, whether formal or informal, conducted in any format.

“Event” or “Session”:
Any specific component of the WFF Initiative, whether conducted at a fixed time and venue, or in a virtual or hybrid format.

“Participant” / “Delegate” / “Stakeholder”:
Any individual, organization, government agency, business entity, civil society organization or authorized representative participating in the WFF Initiative.

“Member Organization”:
Any entity formally admitted and recognized as a member or partner organization of ISF or UNIDO.

“Participant Information”:
All personal, professional, organizational and other data provided during registration.

“Initiative-Specific Terms”:
Particular terms or rules notified for a specific WFF session or event.


2. SCOPE, ACCEPTANCE & BINDING NATURE

2.1 Binding Contract

These T&C constitute a binding contract between the Participant and the Joint Organizers and shall apply to all participation in the WFF Initiative.

2.2 Explicit Acceptance
  • Confirms having read and understood these T&C;
  • Explicitly consents to all limitations, disclaimers and indemnities;
  • Agrees to comply with initiative-specific rules;
  • Represents legal authority to bind themselves or their organization;
  • Acknowledges the international nature of the Initiative.
2.3 Continued Participation

Continued participation constitutes acceptance of all provisions of these T&C.

2.4 Conflict of Terms

In case of conflict, Initiative-specific terms shall prevail for that specific session only.


3. ELIGIBILITY, REPRESENTATION & REGISTRATION

3.1 Eligibility Criteria
  • Representatives of ISF or UNIDO member organizations
  • Government officials and policymakers
  • Business leaders, MSMEs, startups and enterprises
  • Academics, researchers and development practitioners
  • International organizations and civil society
  • Other categories notified for specific events
3.2 Right to Verify Eligibility

The Co-Organizers reserve the absolute right to verify credentials, request documentation, reject applications or restrict participation.

3.3 Registration & Confirmation

Registration is subject to availability and approval. Confirmation is conditional and subject to verification, security checks and final approval.

3.4 Conditional Nature of Confirmation

Confirmation does not guarantee admission and may be revoked at any time.

3.5 Required Documentation

Participants must produce confirmation and valid identification at entry.

3.6 Fraudulent Registration

Fraudulent registrations may be cancelled and result in permanent disqualification.

3.7 Personal & Non-Transferable

Confirmations are personal and non-transferable.

4. MANDATORY PUNCTUALITY & TIMING REQUIREMENTS

4.1 Importance of Professional Punctuality

The World Future Forum Initiative operates on strict schedules reflecting the international, multi-stakeholder nature of the collaboration. Punctuality is essential to honor the time commitments of government officials, international experts and executives, ensure structured agendas proceed on schedule, facilitate seamless virtual or hybrid sessions across time zones, maintain professional standards befitting a UN-aligned initiative, and respect cultural and time norms of diverse international participants.

4.2 Mandatory Entry Windows & Cut-Off Times

The Co-Organizers may specify:

  • Mandatory arrival windows;
  • Required check-in or registration times;
  • Cut-off times after which entry will not be permitted;
  • Specific instructions regarding venue access, security or digital access.

These instructions are mandatory and non-negotiable. Failure to comply constitutes a breach of these T&C.

4.3 Absolute Right to Deny Late Entry

The Co-Organizers reserve the absolute right to deny entry to any Participant who:

  • Arrives after the scheduled start time;
  • Misses any notified cut-off time;
  • Fails to comply with mandatory entry windows;
  • Arrives when the event is significantly underway.

The Co-Organizers are under no obligation to provide notice, explanation, alternate arrangements, or refunds due to late arrival.

4.4 No Liability for Late Arrival Denial

The Co-Organizers shall have no liability for claims arising from denial of entry due to late arrival, including travel costs, business losses, reputational harm or emotional distress. Timely arrival is solely the Participant’s responsibility.


5. DOCUMENT VERIFICATION & IDENTITY

5.1 Required Documentation

Participants must present:

  • Valid government-issued photo identification;
  • Confirmation of participation issued by the Co-Organizers;
  • Organizational credentials or designation letters (where applicable);
  • MSME or enterprise registration proof (if required);
  • Any additional documents requested by the Co-Organizers.
5.2 Admission Based on Verified Documents

Admission is granted only upon successful verification. Entry may be denied if documents are missing, invalid, forged, expired, or do not match registration details. Verification may include security checks or database cross-referencing.


6. CONFIDENTIALITY OF PARTICIPANT INFORMATION

All Participant Information and any data, documents or materials shared with the Co-Organizers in connection with the World Future Forum Initiative shall be treated as strictly confidential and used solely for planning, executing and improving the Initiative. Such information shall not be sold, licensed or disclosed to any third party under any circumstances.


7. PRIORITY, SEATING, BENEFITS & ALLOCATION OF RESOURCES

7.1 Priority Categories

The Co-Organizers reserve the right to prioritize:

  • Government officials and policymakers;
  • UNIDO Member State delegations;
  • Designated speakers, panellists and facilitators;
  • ISF and UNIDO members or strategic partners;
  • Award recipients and sponsors;
  • Media representatives and designated observers;
  • Any other category determined for a specific event.
7.2 Allocation of Seating & Resources

Seating, meals, refreshments and materials shall be allocated based on priority and availability. The Co-Organizers may reallocate seating dynamically and services may be limited if capacity is exhausted.

7.3 Scope of Free / Complimentary Participation

Includes:

  • Delegate badge or credentials;
  • Standard seating (subject to availability);
  • Basic refreshments;
  • Access to main sessions or keynote proceedings.

Does NOT include:

  • Meals or premium refreshments;
  • Premium kits or merchandise;
  • VIP seating or exclusive events;
  • Recordings, certificates or proprietary materials;
  • Transport, accommodation or consultations.

8. CODE OF CONDUCT & PROFESSIONAL BEHAVIOR

8.1 General Conduct Standards

All Participants are required to conduct themselves with the highest standards of professionalism, integrity, decorum and respect toward fellow Participants, speakers, panellists, government officials, Co-Organizers’ staff, volunteers, venue personnel, partners, sponsors and all other persons present at the event. Participants must respect the international, multi-stakeholder and development-focused nature of the World Future Forum Initiative.

8.2 Prohibited Conduct

The following conduct is strictly prohibited:

  • Harassment, abuse, intimidation, threats or coercion of any kind;
  • Defamatory, offensive, discriminatory, hateful or derogatory statements;
  • Unwanted physical contact, inappropriate behavior or sexual harassment;
  • Disruption of sessions or obstruction of proceedings;
  • Aggressive questioning or confrontational conduct;
  • Unauthorized recording, photography or live-streaming;
  • Unauthorized representation of affiliation with UNIDO, ISF or partners;
  • Commercial solicitation or promotion without authorization;
  • Fraudulent claims regarding credentials or expertise;
  • Violation of intellectual property rights;
  • Consumption of alcohol or controlled substances unless permitted;
  • Violation of venue rules, safety or security protocols;
  • Failure to comply with instructions from staff or security.
8.3 Immediate Consequences

Any Participant engaging in prohibited conduct may be subject to immediate expulsion without notice, permanent barring from future events, notification to authorities or employers, legal action and other remedies deemed appropriate by the Co-Organizers.


9. INTELLECTUAL PROPERTY, RECORDINGS & CONTENT RIGHTS

9.1 Ownership of Initiative Materials

All content, materials, presentations, documents, recordings, designs, branding and intellectual property used or created in connection with any WFF event are the exclusive property of the Co-Organizers, UNIDO, respective speakers or third-party rights holders, as applicable.

9.2 Prohibition on Unauthorized Recording & Distribution

Participants are strictly prohibited from:

  • Recording, photographing or video-recording sessions;
  • Audio recording or transcribing discussions;
  • Live-streaming or transmitting content externally;
  • Copying, downloading or distributing materials;
  • Creating derivative works or commercial exploitation of content.

Violations may result in expulsion and legal action, including claims for damages and injunctive relief.

9.3 Permitted Use & Co-Organizers’ License

Participants grant the Co-Organizers and UNIDO a non-exclusive, royalty-free, worldwide, perpetual license to photograph, record and use their image, likeness, voice and contributions for documentation, reporting, promotional and institutional purposes, without compensation.

9.4 Participant-Generated Content

Participants presenting or submitting content confirm ownership and grant the Co-Organizers and UNIDO the right to use such content for WFF-related purposes. Participants indemnify the Co-Organizers against third-party intellectual property claims arising from such content.


10. CHANGES, POSTPONEMENTS, CANCELLATIONS & FORCE MAJEURE

10.1 Co-Organizers’ Right to Modify

The Co-Organizers reserve the absolute right to modify, postpone, suspend or cancel any WFF event, change schedules, formats, venues, speakers or program components, with or without advance notice.

10.2 Grounds for Changes or Cancellation

Such actions may occur due to:

  • Safety, security or public order considerations;
  • Public health or pandemic-related concerns;
  • Technical failures or platform unavailability;
  • Venue issues or access restrictions;
  • Government directives or regulatory requirements;
  • Partner or sponsor withdrawal;
  • Insufficient registrations;
  • Force majeure events or unforeseen emergencies.
10.3 Notification Responsibility

Reasonable efforts will be made to notify Participants of changes through official communication channels. Participants are responsible for monitoring communications and the WFF website.

10.4 Limitation of Liability for Modifications

For complimentary participation, the Co-Organizers’ liability is zero. For paid events, liability is limited strictly to refund of the registration fee paid. No compensation for indirect or consequential losses shall be provided.

10.5 No Claims for Incidental Expenses

Participants shall not be entitled to reimbursement for travel, accommodation, meals, lost business opportunities or any incidental or consequential expenses.

11. DATA PROTECTION, PRIVACY & INFORMATION SECURITY

11.1 Data Collection & Use

By registering or participating in any WFF event, the Participant explicitly consents to the collection, storage, processing and use of Participant Information by the Co-Organizers for purposes including event management, communications, impact assessment, reporting, research, networking facilitation, compliance with applicable laws and improvement of the WFF Initiative.

11.2 Data Sharing with Partners & Co-Organizers

The Co-Organizers may share limited Participant Information with event partners, sponsors, collaborating organizations, UNIDO Member States, government bodies, research institutions, ISF members and other UN entities, in compliance with applicable data protection laws, UN data protection standards and UNIDO privacy policies.

11.3 Data Security & Organizers’ Limitations

Reasonable technical and organizational measures will be taken to protect Participant Information. However, absolute security cannot be guaranteed against cyber-attacks, data breaches, system failures, third-party misconduct or force majeure events. Participants assume all related risks.

11.4 Right to Opt-Out

Participants may opt out of non-essential communications by written request, but shall remain subscribed to essential operational communications necessary for participation.

11.5 Data Retention & Deletion

Participant Information shall be retained as required for WFF operations and applicable law. Where legally permissible, data may be deleted or anonymized upon request.


12. HEALTH, SAFETY & SECURITY

12.1 Compliance with Guidelines

Participants must comply with all health, safety and security guidelines issued by venues, Co-Organizers, government authorities and security personnel, including public health protocols, access restrictions and cybersecurity requirements for virtual or hybrid events.

12.2 Co-Organizers Not Liable for Injuries or Loss

The Co-Organizers shall not be liable for personal injury, illness, accidents, loss or damage to property, cyber incidents or exposure to communicable diseases during WFF events, except in cases of gross negligence or willful misconduct, where liability shall be strictly limited.

12.3 Participant Assumption of Risk

Participants assume all risks associated with participation, including health, physical, environmental, travel-related and cybersecurity risks.


13. LIABILITY, DISCLAIMERS & INDEMNITY

13.1 Disclaimer of Warranties

All WFF events are provided “AS IS” and “AS AVAILABLE” without warranties of any kind, including warranties of fitness for purpose, merchantability, accuracy, outcomes, professional benefit, networking success or business results.

13.2 No Guarantee of Outcomes

The Co-Organizers do not guarantee business opportunities, policy outcomes, funding, recognition, partnerships, awards, media coverage or any specific benefit resulting from participation.

13.3 Limitation of Liability

To the maximum extent permitted by law, the Co-Organizers and their affiliates shall not be liable for indirect, incidental, consequential, punitive or special damages, including loss of profits, reputation, opportunities or personal expenses.

13.4 Caps on Liability

Where liability cannot be excluded, it shall be strictly limited to the registration fee paid for the specific event. For complimentary participation, monetary liability shall be zero.

13.5 Participant Indemnity

Participants agree to indemnify and hold harmless the Co-Organizers, UNIDO, ISF and all related entities from any claims, losses, damages, costs or legal actions arising from their participation, breach of these T&C, misrepresentation, misconduct or violation of applicable laws.

14. DISPUTE RESOLUTION & GRIEVANCES

14.1 Amicable Resolution

Any dispute, concern or grievance arising out of or relating to participation in the World Future Forum Initiative shall first be attempted to be resolved amicably through good faith discussions between the Participant and the Co-Organizers.

14.2 Arbitration

If amicable resolution fails, the dispute shall be referred to arbitration in accordance with the Arbitration and Conciliation Act, 1996 of India. The arbitration shall be conducted by a sole arbitrator appointed by the Co-Organizers. The seat and venue of arbitration shall be New Delhi, India. The language of arbitration shall be English.

14.3 Limitation on Claims

No claim may be brought more than twelve (12) months after the cause of action arises.


15. DEFAMATION, ABUSE OF PROCESS & COUNTER-MEASURES

15.1 Prohibition of Defamatory Conduct

Participants shall not make false, misleading or defamatory statements, whether orally, in writing or via digital or social media platforms, regarding the Co-Organizers, partners, speakers, sponsors or other Participants.

15.2 Abuse of Process

Abuse of grievance mechanisms, regulatory processes or legal proceedings for harassment, publicity or leverage shall constitute a material breach of these T&C.

15.3 Right to Take Action

The Co-Organizers reserve the right to initiate civil, criminal or regulatory proceedings and seek damages, injunctions or other remedies available under law.


16. GOVERNING LAW, ARBITRATION & JURISDICTION

These Terms & Conditions shall be governed by and construed in accordance with the laws of India. Nothing herein shall prejudice the privileges and immunities enjoyed by UNIDO under international law. Subject to arbitration provisions, courts at New Delhi, India shall have exclusive jurisdiction.


17. PARTICIPANT ACKNOWLEDGEMENTS & DECLARATIONS

By participating in the World Future Forum Initiative, the Participant expressly acknowledges and declares that they:

  • Have read, understood and accepted these Terms & Conditions in full;
  • Have the legal authority and capacity to bind themselves or their organization;
  • Have provided accurate, truthful and complete information;
  • Understand and accept all risks associated with participation;
  • Agree to comply with all applicable laws, rules and guidelines;
  • Accept all disclaimers, limitations of liability and indemnity provisions.

18. MISCELLANEOUS PROVISIONS

  • Amendments: The Co-Organizers may amend these T&C at any time without prior notice.
  • Severability: If any provision is held invalid, remaining provisions shall remain in effect.
  • Waiver: Failure to enforce any provision shall not constitute a waiver.
  • Assignment: Participants may not assign rights or obligations without consent.
  • No Third-Party Beneficiaries: These T&C create no rights for third parties.
  • Force Majeure: Obligations may be suspended due to force majeure events.
  • Entire Agreement: These T&C constitute the entire agreement between the parties.

20. FINAL STATEMENT

By registering for, attending or participating in any manner in the World Future Forum Initiative, Participants reaffirm their commitment to ethical conduct, professional integrity, mutual respect and the overarching mission of fostering inclusive and sustainable industrial development for the Global South.
